Standard manuscript format

How to format a manuscript for submission

Standard manuscript format, as William Shunn’s widely used guide sets it out, is 12-point Times New Roman, double-spaced, with 1-inch margins and half-inch paragraph indents. Your name and contact details go at the top left of page 1, the word count, rounded, at the top right, and the title is centred a third to halfway down the page. Fill in your details to lay out a correct first page, or a novel’s title page, then check your text, print the pages or save them as an RTF file.

The Lamp on Cranmer Street

The rain had stopped by the time Margaret reached the station, but the platform was still slick, and the lamps along the far wall made long yellow streaks across the puddles. She checked her watch twice.

“You’re late,” said a voice behind her.

She turned. Thomas stood under the clock with his collar turned up and a parcel wrapped in brown paper under one arm.

“I’m exactly on time,” she said. “The train is late. There’s a difference.”

Every later page: Okafor / Street / 2 at the top right.

Format check

  • Contact block at the top left: 5 lines
  • Word count at the top right, rounded: about 7,200 words
  • Title a third to halfway down page 1, centred, byline below
  • 12-point Times New Roman, double-spaced, 1-inch margins, half-inch indents
  • Header on every page after the first: Okafor / Street / page number
  • One space after full stops, as modern format has it.
  • No blank lines between paragraphs.
  • Scene breaks, if any, use a centred #.

The rules, one by one

There is no official standard manuscript format, no body that sets it. What editors mean by it is a set of conventions, and the reference most of them point to is William Shunn’s guide, Proper Manuscript Format, which Asimov’s and Clarkesworld both refer writers to. These are its rules for a short story, in its modern edition (last updated 13 July 2026):

A novel adds two rules, from Shunn’s sample novel manuscript: a separate title page, with the contact block at the top left, the title and byline centred in the middle and the word count at the bottom; and each chapter starting on a new page, well down from the top, with pages numbered from 1 on the first page of text.

Rounding the word count

Shunn’s guide says to take the count from your word processor and round it to the nearest hundred, so 1,507 words becomes “about 1,500 words”; when a story is edging into novella length, round to the nearest 500. He gives no rule for novels; his sample novel’s title page reads “about 80,000 words”, so this page rounds novels to the nearest thousand unless you choose otherwise. It treats stories from 15,000 words as edging into novella length, since novellas start at 17,500 under the Nebula and Hugo rules. A few examples: 3,449 words is about 3,400; 3,450 is about 3,500; 16,260 is about 16,500; and an 80,449-word novel is about 80,000.

As Shunn explains, the word count tells an editor roughly how much space a story will take up in the publication, not its exact length. Use the count from the file you are sending, not a page estimate.

When a market’s guidelines differ

Shunn’s own advice is to check each market’s guidelines and follow them where they differ. Three examples, as of 5 November 2026:

Printing and the RTF file

“Print pages” prints the first page of a story, or a novel’s title page and first page, at real size on the paper you chose, so you can hold it against your own file. “Download RTF” saves those pages as a Rich Text Format file with the margins, font, double spacing, indents and page header set, ready for you to paste in the rest of your manuscript. RTF is a plain document format that word processors open, and all three magazines above accept it.

Common mistakes

To check a title’s capitalisation before it goes centred on page 1, Amber Headline converts titles to title case in several styles.

Questions

Should I use Times New Roman or Courier?

Times New Roman, unless a market asks for Courier. Shunn’s modern edition uses a standard serif such as Times New Roman with one space between sentences; his classic edition uses Courier with two. Both are double-spaced 12-point with 1-inch margins.

How do I round my word count?

To the nearest hundred for a short story, or the nearest 500 for a long story edging into novella length, following Shunn. Shunn gives no rule for novels, but his sample novel says “about 80,000 words”, so a round thousand works. If a market’s guidelines say otherwise, as Strange Horizons does, follow them.

Does a novel manuscript need a title page?

Yes. Shunn’s sample novel has a separate title page with your contact details at the top left, the title and byline in the middle and the word count at the bottom. Page numbering starts at 1 on the first page of text.

Does the first page have a header?

Not for a short story: the header with your surname, a title keyword and the page number goes on every page after the first. In a novel, the first page of text carries it, numbered 1.

Is anything I type here stored?

No. The pages are laid out by your browser, the RTF file is made on your device, and nothing you type is sent anywhere or saved.
